Problem
The situation prior to the B2B Documenta solution was a manual administration of documents required by the Treasury where a series of documentation was required to ensure that suppliers of both services and products were up to date with the requirements of the SAT.
This was done manually and did not ensure that the required documents were complete and current. They were requested by mail to suppliers and files were generated in folders. As a result, documents were missing, not current and difficult to access in the event of an audit.
Solution
B2B Documenta was implemented, which is a customer-supplier communication portal with automated supplier request management.
The system sends automatic notifications to the suppliers for the entry of new documentation and also of the validity of documents within the same.
Apart from having a documentation checklist, it has an authorization flow at different document levels which ensures the validity and currency of the documents.
Economic Impact / Time / Process
The economic impact is achieved by avoiding possible fines from government agencies.
Another perceived economic impact is that of the operational part that was in charge of the request and administration of the documents, which, being automatic, saves the client the human resources completely dedicated to this activity.

As an integral platform, it encompasses different areas of the company that are involved in ensuring that suppliers are up to date with their tax obligations.
The areas involved in this implementation were purchasing, finance and human resources.
